Company Overview:

Our client is a high-calibre boutique service provider, providing outsourced middle and back office services. They boast a team of seasoned industry experts dedicated to enhancing the operational efficiency of hedge funds. Catering to a wide spectrum of clients, including startups, emerging managers, and well-established hedge fund firms, they enhance compliance measures, mitigate operational risks, and guarantee a seamless and robust operational framework.

Role Overview:

You will be part of a collaborative team of highly experienced former buy-side professionals. This is a client-facing role that will be very broad in nature and cover a wide variety of products, and global markets. The focus of the role involves offering daily middle and back office assistance to clients, primarily hedge funds or alternative asset funds, managing and overseeing the Operations team, client relationships, and third-party engagements for a designated portfolio of clients.

Key Responsibilities:

  • Timely trade bookings (for applicable clients)
  • Daily position and cash reconciliations
  • Send trades and position files to the custodians and administrators
  • Cash journals booking
  • Corporate actions processing
  • Trade settlement queries
  • Trade matching and Trade reconciliation
  • Managing and monitoring the trade life cycle across the full spectrum of products – both cash and derivatives
  • Daily / Weekly cash & margin management
  • NAV reconciliation and setting up and managing expense accrual (including management fee and performance fee)
  • Portfolio and Share Class FX hedging
  • Various fund and client-related reporting
  • Liaise with counterparties, custodians, prime brokers, and administrators to ensure any issues are resolved in a timely manner
  • Liaise with clients to resolve any issues caused by daily processes and on a regular basis (monthly or quarterly) conduct a client review
  • Maintain and update procedure documentation

Management and oversight of a small team (for a portfolio of clients, as the business grows):

  • Ensure all daily Operations run smoothly
  • Ensure checks and controls (daily, monthly etc) are adhered to and processes and procedures are documented and kept up to date
  • Maintain a clear structure of client responsibility
  • Ensure ongoing client coverage and team rotation
  • Manage and provide ongoing training to both new and existing team members
  • Perform annual appraisals and set objectives for team members

Client and Third-Party Relationship Management

  • Maintaining the overall client relationship
  • Point of contact for client issue escalation

Process Improvement

  • Ongoing identification and implementation of improvements, automation and standardisation of operations process and procedures
  • Improvement, enhancement and integration of existing systems
  • Support with new systems selection and implementation
  • Contribute and implement enhancements to Osmo’s product and client services offering

Ad-hoc Project Management

  • Responsibility for onboarding new clients and ensuring a smooth transition into the Operations team
  • Assisting with sales and business development activities

Skills and Experience Required:

  • 5 – 10+ years industry experience with at least 2+ years on the buy side and / or with a Tier 1 administrator
  • Strong product knowledge including equity and equity derivatives, futures options and FX and covering the full trade lifecycle
  • Experience of the valuation of a variety of products listed and OTC (equities, equity derivatives, futures and options)
  • Understanding of fund structures.
  • Systems experience in any of the following: Enfusion, AlphaDesk or other OMS / PMS system. Watson Wheatley iRecs, C3 Post Trade, Omgeo CTM or other reconciliation and trade confirmation systems
  • Strong Excel and IT skills
  • Relationship focused and comfortable interaction with clients and third parties service providers Lead a small team
  • A confident, enthusiastic self-starter who can hit the ground running and take on responsibility and work autonomously
  • Highly organized and able to multi-task
  • Teamwork and collaboration
